PSNA AGM and First Council Meeting Communique

Port Stephens Netball Association held its Annual General Meeting on Wednesday 11 March 2026 at 2 William Bailey St, Raymond Terrace. The meeting opened at 6:35pm, with members welcomed and an Acknowledgement of Country provided.


Apologies were noted from Jodi Cassar PSM, Katy Knight, Marcia Smith, Wendy Thomas, Dot Etheridge and Judy Murray. 


Meeting confirmations 

  • The minutes of the 2025 AGM were confirmed.

  • Business arising from the 2025 AGM minutes: Nil. 

  • Notices of motion: None received. 


Awards and recognition 

The Association recognised outstanding service and contribution during the 2025 season: 

  • Service Awards: Haylea Caldwell; Jenny Withey; Leighton Knight; Katy Knight; Sarah Xenos; Lois Tranter. 

  • Judy Parker Sports Person of the Year: Sarah Xenos. 

  • Life Membership: Sue Coulter (recognised for longstanding service to the Association). 


Annual Report and audited financials 

Treasurer Emma Penfold presented the Annual Report and members adopted the audited balance sheet.


Key discussion points included the canteen as the largest contributor to revenue (with one-third to be transferred to the Representative account), increased operating costs (including cleaning, grounds and electricity), and member questions regarding competition outcomes and cost drivers (including council costs and fundraising expense management). 


Appointments 

  • Auditor: Luke Mather, Rees Pritchard appointed for the coming year. 

  • Patron: Wendy Archer AM was nominated for appointment as Patron of Port Stephens Netball Association. 

  • Solicitor: It was agreed that, should legal support be required, the Association will work with the Netball NSW appointed solicitor. A note was raised to consider a constitution update, so this does not require annual ratification. 


2026 Executive Committee 

Wendy Archer conducted the election of the Executive Committee for the 2026 season. In line with the Association’s constitution, the following office bearers were declared: 

  • President: Jodi Cassar 

  • Vice President: Sue Xenos 

  • Secretary: Sophie Bradbery 

  • Treasurer: Emma Penfold 

  • Representative Convenor: Nadina Marsh 

  • Technical Services Convenor: Jenny Withey

  • Games Services Convenor: Ashlea Caldwell 


Committee convenors (sub-committees) 

The following convenor roles were declared for 2026: 

  • Assistant Treasurer: Melissa Crain 

  • Canteen Convenor: Danielle Tranter 

  • Carnival Convenor: Rachel Daly 

  • All Abilities Convenor: Casey Farrell 

  • NetSetGo Convenor: Haylea Caldwell 

  • Grounds Convenor: Leighton Knight 

  • Selections Convenor: Sue Coulter 

  • Umpires Convenor: Vacant 

  • Member Protection Officer: Wendy Thomas 

  • Competitions Convenor: Vacant

  • Twilight Convenor: Vacant

  • Boys and Mens Convenor: Vacant

  • Coaching Convenor: Vacant


Delegates 

  • Netball NSW Delegates: Jodi Cassar and Sue Xenos (Proxy: Ash Caldwell) 

  • Port Stephens Council West Ward Sports Council Delegate: Jodi Cassar (Proxy: Emma Penfold) 


Immediately following the AGM, the first Council Meeting was held.

 

Key outcomes 

  • Minutes confirmed: The minutes of the August 2025 meeting were confirmed. 

  • Constitution/policy changes: Previously agreed policy and constitution changes from the last committee meeting were not considered at the AGM. This will be reviewed at the final committee meeting in 2026 to determine whether the items will be tabled for the 2027 AGM. 

  • Sub-committees: Sub-committee positions were called for across Canteen, Competitions, Grounds, Umpires and Appeals. 


Health & Safety reminders 

  • Injury register: Member clubs are reminded to record injuries sustained on the premises in the injury register. This supports the association if an insurance claim needs to be lodged. 

  • End-of-court logs: The logs at the end of each court are traffic barriers and are not intended as seating. Anyone choosing to sit there does so at their own risk and should remain mindful of moving traffic.
